UNICEF BRAZIL Vacancy Notice RH/2014/002 The United Nations Children’s Fund (UNICEF), the world's leading organisation focusing on children and child rights, is inviting qualified professionals to apply for the following consultancy: Purpose: Provide support to programme in Brazil Country Office. Work Assignment: Under the overall supervision of the Chief of Section or Programme Officer, the consultant will perform all programme activities support functions related to the unit/section. The individual contractor will specifically be responsible for but not limited to: a) Assist in preparing programme status reports required for management, board, donors, budget reviews, programme analysis, annual reports, etc. Contribute to the preparation of reports, project documents by providing information. Prepare and attend internal meetings and technical cooperation meetings, taking notes and preparing corresponding minutes. Undertake follow-up action related to the implementation. Identify problems or alternative courses of action to accelerate/improve programme delivery. Provide supervisor with quantitative and qualitative information on programme implementation, including the financial aspects. Support the elaboration of reports; b) In the frame of HACT, assist partners (Government, CBOs, and NGOs) authorities to plan and organize training. Brief and debrief for the purpose of capacity building in programme financial monitoring. Assist monitoring project/programme activities by reviewing a variety of records, including control plans, progress reports, project inputs, budget and financial expenditures, donor reports, annual work plans and presentations and field visits. Carry out all administrative operational control tasks for the project activities; c) Produce periodic or ad-hoc reports according to unit demands. Reconcile programme accounts differences. Review historic information of every programme/project, their administrative and financial environment, and produce forecasts for specialist's action; d) Elaborate transactions according to office’s table of authority and cooperation agreements terms. Within established timeframes, process information documentation for supervisor’s action; e) Draft, format, edit and prepare all correspondence on routine and non-routine matters. Prepare, proofread and clear correspondence for supervisor signature, and make sure it complies with UNICEF requirements. Prepare informal translations from English to Portuguese and vice-versa, and may act as an interpreter. Receive, screen, log and distribute all correspondence, attaching necessary background information. Be responsible for office files, including all aspects of filing system maintenance; f) Coordinate all administrative arrangements for meetings, workshops, seminars, luncheons and other events, including coordination of transportation logistics, hotel accommodations for participants or visitors, conference room reservations and audiovisual equipment as required. Additional progressive formal or “on the job” training in relevant field essential. Completion of relevant university credit courses an asset. Five years of combined and progressive work experience in support of programme activities as well as administrative support, involving office services, finance and supply. Experience with event management. Computer literacy and the ability to effectively using standard office software tools and other office technology to create documentation, exchange and archive e-mail, and maintain electronic filing systems. Experience in working for International Organizations desirable. Fluency of Portuguese and English. Good knowledge of Spanish is desirable.
