1.3
ResponsiIbility
We recommend all exhibitors to provide a personal and material insurance policy for their booth. In case no
insurance contract is available, the exhibitor will assume total responsibility for any damage that may occur.
1.4
Booth opening hours
Booth personnel must arrive 30 minutes before the Event opening time every day. The booth must be open and
ready to receive visitors from the moment the Exhibition is open. It is expressly forbidden to close and/or disassemble
the booth before the event closing time, being the Exhibitor subject to penalties.
EVENT OPERATIONS
2.1
Distribution of promotional material
Distribution of promotional material outside the booth area will not be allowed and people carrying a service
badge. The Event Organization reserves the right to cease distribution, even inside the booth, whenever it causes
disturbances or inconvenient agglomerations.
2.2
Product Exhibition
The display or demonstration of products, accessories, equipments and/or similar items is only allowed in the
booth area. Any display action occurring outside the booth area is forbidden, being the transgressor subject to penalties
which will be established by the Promoter.

2.3
Material replacement in the booths
The materials replacement and maintenance in the booths must be executed from 8am to 11am. Trolleys are not
allowed.
2.4
Event shooting and photographing
The Event Organization reserves the right to shoot and photograph the whole event.
2.5
Antenna installation
The company who chooses to have antennas installed during Futurecom must negotiate it in advance and
directly with the Transamerica Expo Center, by phone +55 (11) 5643-3193/5643-3001/5643-3011.

2.6
Storage of high-valued items
We recommend that high-valued and small objects are kept in locked places.
Material removal during the Business Trade Show operating hours will be authorized only in exceptional cases.
During disassembly, each Exhibitor is strictly responsible for his material. The Event Organization recommends
that Exhibitors keep security guards in their booths as long as their material is totally removed.
The Event Organization will not take the responsibility for losses, thefts or damages.
2.7
Security
The Event Organization will keep Security Teams at the accesses to the Pavilion and constant patrolling on the
aisles for the whole Event period. The purpose of these services is to keep order in the Expo Center during the Event.
The Event Organization will not assume the responsibility for any assembly material or equipments, such as
notebooks, tools, cases and displayed products during the assembly, the event and disassembly periods.
The Transamerica Expo Center (TEC) will close and lock its gates every day, two hours after the event closure. No
person (including exhibitors) will be allowed to remain in the Expo Center after this period.
2.8
Booth Security
Security inside the booths is the exclusive responsibility of each Exhibitor. All material and equipments must be
kept under his strict supervision.
2.9
Sounding
Sounding, music and any noise will not be allowed outside the booth area. The maximum limit of 65 db inside
the Halls must be observed. In case this norm is disregarded, a fee in the amount of R$ 10.000,00 (ten thousand reais)
will be charged by day.
Laws of the City of Sao Paulo:
According to the Law nº 11.501 dated April 11th 1994, which disposes on the control and supervision of
activities that generate sound pollution, penalties and other measures are imposed;
Law nº 11986 dated January 16th 1996, which changes the device of Law nº 11.501 dated April 11th 1994
disposing on the control and supervision of activities that generate sound pollution imposes penalties and other
measures;
Decree nº 34.741 dated December 9th 1994, which regulates the Law nº 11.501 dated April 11th 1994;

Decree nº 34.569 dated October 6th 1994, which institutes the Urban Silence Program – PSIU, aiming at
controlling and supervising the excessive noise that may interfere with the health and welfare of the population
imposes other measures;
Decree nº 35.928 dated March 6th 1996 which restructures the Urban Silence Program – PSIU, instituted by
Decree nº 34.569 dated October 6th 1994, imposes other measures:
Measurement Conditions - Areas outside the Expo Center

Measurements outside the Expo Center must be made 1,20 m from the floor and, at least, 1,50m from
walls, constructions and other reflecting surfaces;

The microphone distance to any reflecting surface must be at least 3,50 m;

When circumstances require, measurements can be made at different heights and next to walls as
foreseen in the Norm NBR 10.151/2000;

The microphone must be provided with a wind protection device;

No evaluation may occur in case of rain;

The interference of other sources on the noise levels of the evaluation source must be avoided.
Measurement Conditions - Areas inside the Expo Center

Microphone height: 1,20m – 1,50m (from the floor)

Minimal wall distance: 1,00m

Window distance: 1,50m

At least three separate measurements must be made 0,5m from each other or representative for the
place

Measurements must be made in normal conditions when using windows and doors (open or closed) in
the room.
Audiovisual material, sound amplifiers and ambient sound may not be used without the authorization of
Provisuale.

ASSEMBLY AND DISASSEMBLY PERIODS: Only during the Assembly and Disassembly Periods, vehicles such as
automobiles, trucks, utility vehicles and vans, which are accessing the Convention Center for the first time, will pay for
the parking costs at the cashiers in the pavilion and will be authorized to leave and return as often as necessary, since
the return occurs on the same day the Fiscal Bill is issued and the shield is the same. During the Event Days this will not
be applied.
2.11
Compliance with terms
When starting your booth construction it is not allowed that the obligatory fees are still unpaid. Payment must
be made before assembly start, via Electronic Manual.
2.12
Area redistribution
The PROMOTER in common agreement with the EXHIBITOR may redistribute the sectors and booths, since the
dimensions and features which have been established in the Term of Adhesion to the Rules of FUTURECOM.

From October 23rd, 7am, the door E5 on Pavillion E and the door C3 on Pavillion C, will be closed.
Assembly Companies with stands on these sectors will have to use other doors nearby for loading and unloading.
It will be allowed the assembler entrance in the pavilion after verification by the staff of CAEX if all fees are paid out
of the event and delivered all documentation required for project approval.
The time allowed to unload trucks during the assembling is up two hours.
The vehicle that enters after 9 PM until 7 AM in the next day, will not be allowed to enter in the areas of loading and
unloading. It is also prohibited any kind of equipments and automobiles, it must remain at the parking area.
The assembly and disassembly within the Halls is permitted during the whole day. However pay attention on the
rules of no noise and exceed the Convention Center limits to not disturb the neighbourhood.

3.1
Layout approval
Each Exhibitor must submit his booth project to the approval of the Event Organization until September 25
th
2015.
Exhibitors must submit the lay-outs, perspectives and visual features of the booth structure, with access ramp for
physically handicapped individuals to the approval of the Event Organization;
Projects must contain at least following information:
 Booth lay-out.
 Responsibility Term signed and stamped by the Assembly Company and Exhibitor.
 Side lay-out containing the corresponding measures, uplifts and spacing.
 One copy of perspectives containing the corresponding measures, uplifts and spacing.
 ART for assembly, electric installations and floor level above 10 cm, (For floor level is
Optional).
 Location of water, drainage, Internet, phone and electrical installations.
 Proof of payment of ART.
 A structural ART must be presented for booths with mezzanine.

The lay-outs must have a minimum scale of 1:50, presenting details, height quotas and dimensions of the booth.
All documents containing the name and phone of the qualified professional in charge;
Please mention the booth number, name of the Assembly Company, phone number and contact person in the
projects and documents, even if these are sent by e-mail. The scale and the description of the employed material must
be indicated in the drawings.
The roof of the closed areas must be open for the air-conditioning circulation.
Everywhere in the pavilion the fire prevention system will be installed by means of sprinklers. Consequently the
Fire Brigade determines 25% for the maximal booth roof closure.
The Event Organization will immediately interrupt the assembly of each booth which does not observe the
approved project;
All Assembly Companies contracted by the Exhibitors must comply with the Norms and Regulations established
in this Manual.

3.2
Booth’s height and setback
Maximum booth height must be 6.10 m, including the platform

Fastening of assembly elements to the pavilion structure must observe the maximum height and spacing,
however, they must be previously approved by the Transamerica Expo Center (TEC) – Mr. Daniel – Phone: + 55 (11)

Each point fastened to the pavilion ceiling with max. 60Kg/point will cost R$ 235,50
No object may hang from the ceiling or be tied, fastened to the ground, columns, walls or any other place at the
Transamerica Expo Center (TEC), without previous authorization by Mr. Wilson of TEC.
3.3
Mezzanine / Two-floor booths
Allowed for ground-floor areas which are equal to or over 70sqm;
The construction must cover max. 50% of the total rented area and must observe the spacing and maximal
height rules;
Three ART must be presented: (I) project, (II) electric installations and (III) calculation of the mezzanine structure.
People capacity / weight on the stairs to the 2nd booth floor must be indicated;
All wall footings must be made of the same structure material and be directly supported on the pavilion floor
(Protection must be placed between the footing and the pavilion floor).
Stairs must be built rigorously in accordance with the Fire Brigade Rules of Sao Paulo / SP.
Stair steps must be covered with carpet or another kind of cover. In case the last option is chosen, a non-slip tape
must be fastened to each step.
3.4
Floors
Carpets must be fastened to the pavilion floor with double-faced tape (Adere Ref 462) and taken off at the end of
the event. It is not allowed to fasten the carpet to the floor with glue. For all booths the rented area and the finish of
the frontal carpet edge must be observed. In case of disregard, the Event Coordination may apply a fine for the nonobservation of this norm.
Every booth with wooden platform on the floor must have a 1m wide access ramp for people with
special needs (obligatory).
No accessory or visual element may be fastened, nailed, screwed or padded to the floor of the Transamerica
Expo Center (TEC). If any Exhibitor and/or Assembly Company ignore these norms, they will have to assume the
responsibility for the damage caused.
3.5
Upper floors or footbridges
The upper floor, where there may be any kind of circulation, cannot surpass the height of 1.20 m from the
PAVILION floor and must have min. 2 m spacing from the area limits, totally facing the booth inside; It does not matter
whether the area configures an island or not. The ART delivery concerning the floor, stage or footbridge is obligatory.
3.6
Walls / Closure
The blind closure shall not surpass 50% of the lineal meters on the booth side facing the streets.
In case of neighboring booths, the walls facing the neighboring booths must have white finish from 2.20 m..
Any constructed element shall not surpass the booth limits (for example: shop windows, towers and frontages)
and may not be built in the exhibition area.

Glass windows will be allowed since the safety norms are observed. For walls up to 3 m high the glass may be
simple and duly signalized with adhesive tapes, logo, colorful stripes, graphics, etc. without any element that hinders
the visibility inside the booth.
For glass walls above 3 m the use of safety films like insufilm is binding; laminated, tempered or acrylic glass may
also be used with min. 6mm.
Projections and/or illumination of globes or similar may not exceed the Sponsor’s booth limits.
Any concrete or brickwork construction (floor, walls, etc.) is forbidden.
Gardens, flowers and ornamental plants in vases, baskets or other recipients will be allowed inside the booth.
However, the use of loose earth, sand and stones directly on the floor or carpet for building the garden will be
forbidden.
The Exhibitor will be allowed to cover the columns which eventually belong to the booth area, since it does not
obstruct the access to the fire extinguishers. The application of materials that may cause damage to the columns will
not be allowed (fine amounting to R$ 2,000.00).
3.6.1
Walls and locking for Island Booths or Island Tips
The walls must observe the spacing norms and may only be built in an area of maximal 40% of the lineal meters
on the booth side. Above these meters simple glass may be used, duly signalized with sticking tapes, logo, colorful
stripes, graphics, etc. without any element that hinders the visibility inside the booth.
3.7
Wire, cable or connection duct and installation
It will not be allowed to pull cables or any connection element that cross the aisles, common areas or
neighboring booths. This action must be planned in advance and in case it occurs, it must be decided together with the
Event Organization.
3.8
End of the daily activities
At the end of the daily activities, Exhibitors must turn off all electrical power circuits, except for equipments that
need to be on full time. In this case, equipments must be installed with independent circuits and own identification.
3.9
Removal of materials and spare parts
In case some materials or equipments are outside their corresponding booths, the Event Organization will

remove them on October 25 2015 from 2pm, making the Exhibitor responsible for them.
3.10
Cleaning services inside the booth
The Exhibitor is responsible for the cleaning services inside the booth during the assembly, event days and
disassembly. Garbage, which is removed from the booth on the event days, must be packed in plastic bags and placed
on the aisle. Removal will follow the next morning from 8am to 11am.
3.11
Rough cleaning services (during assembly and disassembly)
The rough cleaning services at the Pavilions will be supervised by the Event Organization and charged to each
Exhibitor. Rough cleaning services during assembly and disassembly consist of the removal of garbage, paper, boxes and
other small materials.
The above mentioned item does not include the removal of parts from the booths, such as platforms, walls,
banner structures, backlights, planks, beams and hardware, which must be removed and transported by the assembly
company. In case these proceedings are disregarded the Assembly Company will be charged for the fine amounting to
R$ 10.000,00 (Ten thousand reais).

Removal of carpets on aisles
Each Assembly Company is responsible for the disassembly of the booths it has built. The displayed materials will
remain under its strict supervision and responsibility.
The remaining material of the booths, wooden pieces and other rests must be completely removed from the
place and from the Transamerica Expo Center, transported by the Assembly Company until the end of the disassembly
services. It is not allowed to put booth materials in the large buckets.
The non-compliance with this dead-line, until the end of the disassembly services, will subject the
Exhibitor/Assembly Company to the payment of a fine and the costs for removing these materials.
3.14
Occupation of booth areas

In case the Exhibitor does not occupy the corresponding booth area on October 24 2015 (Saturday) until 2pm,
this will be considered as abandoned, being the Event Organization authorized to use it.
The Exhibitor will not be entitled to claim for reimbursement of the effected payment regarding the booth area.
4. SECURITY RULES
4.1
Requirement of fire extinguishers
All Exhibitors must have at least one fire extinguisher for every 25sqm of booth area (We recommend chemical
powder and CO2 4Kg). This item is obligatory according to following Supervision Norms: NBR 23 (Fire Prevention);
NBR 14276/99 (Fire Brigade and Panic) and Decree 46072/2001(Protection against Fire).

In case of non-compliance of this requirement, a fine amounting to R$1.000,00 will be charged to the Exhibitor
by CAEX for the event period.
The non-compliance with this requirement submits the Assembly Company and the Exhibitor to the total
responsibility for damages caused to third-parties, to the building of the Transamerica Expo Center, and to the
supervision by the Fire Brigade.

4.2
Forbidden clothing and shoes, and minimal age
While assembling and disassembling the entrance of Assemblers, Service Providers and Exhibitor’s staff wearing
slippers, sandals, clogs, shorts, barefoot or topless is forbidden. The person may not be released to access the Pavilion
for security reasons.
While assembling and disassembling the entrance of minors (18 years) is forbidden.
4.3
Obligatory clothing and shoes for maintenance services
During the maintenance services for the event period, the two selected assemblers must wear shoes and a social
uniform.
4.4
First aid
A medical center, located in the exhibition area, will be open for the whole event period. An ambulance will also
be available for transport in emergency cases for the whole event period. The emergency assistance will occur during
the assembly and disassembly periods as well.
4.5
Employment of grease liquids, gas, explosive material and similar
It is forbidden to use the toilets for draining paint, oils, thinners and similar, as well as for washing the material
employed in painting.
Every work involving the employment of grease, paint, corrosive material, powder, liquids or chemical products,
must be performed rigorously in accordance with the determinations of the corresponding manufacturers and the
municipal / state norms, avoiding damages and personal accidents to third-parties.
For employment of the above mentioned products it is necessary to protect the floor of the Transamerica Expo
Center with plastic covers, avoiding stains caused by product drainage.
The use of petroleum or chemical derivatives on the pavilion and interconnection floors is forbidden.
The employment of explosive material, non-liquified gas, LPG, toxins, fuel and fire inside the Transamerica
Expo Center is forbidden as well.

4.6
Individual Protection Equipments
Service Providers are responsible for the supply of Collective and Individual Protection Equipments to all
employees and/or third-parties who will be working for the Exhibitors during the Event, demanding their use for any
activity whenever necessary.
Protective Equipment Required: closed shoes, helmet, hearing protectors and dust mask. Belt must be used to
work in high places during assembly and disassembly of the event.
4.7
Load Transport inside the pavilion
Only the employment of trolleys or other light load transport means equipped with tires will be allowed until

October 12 . The Assembly Company will be responsible for eventual damages caused to the floor or grooves resulting
from weight excess.

Use of motors, machines and equipments
Ignition motors may not work inside the Transamerica Expo Center.
The display or operation of machines and equipments which do not own an exhaustion system or produce noise
levels of over 85 dB is forbidden.
4.9
Heavy equipments’ entrance
Heavy equipments will only be allowed on October 24 2015 from 08:00 am to 10:00 pm. From this date on the
Event Organization will check the possibility of allowing the access of equipments to the Expo Center. In case the
disassembly of any booth is necessary, the Exhibitor will be responsible for the negotiations with the Assembly
Company involved and the eventual costs.
Machines and equipments the weight of which is heavier than that allowed by the Transamerica Expo Center
(TEC) will be forbidden.
MAXIMUM STATIC LOAD ALLOWED IN THE TRANSAMERICA EXPO CENTER (TEC) = 2000Kg/M². The access gates
are 6 m wide x 8 m high.
It will only be allowed the use of carts or other light means of transportation equipped with tires until October
11th, and the Assembler will be responsible for any damage to the floor or channels due to overweight.
5. INFRASTRUCTURE SERVICES
5.1
Electric power

The Event Organization will install the energy point in all booths upon receipt of payment.
The Exhibitor must carefully calculate the necessary electric power consumption for the booth, according to the
Reference Table below and use full numbers to request it (Ex.: 2,5 – 3,0 – 3,5 – 4,0). Exhibitors must send the form via

the Online Manual by clicking the Infrastructure button until September 25 2015.
Consumption of additional KVA – CAEX will deliver a statement to the Exhibitor at the event with the amount of extra
KVA used in your booth and most be paid be paid at CAEX before the end of the Event. The value per KVA will be
R$ 283,00.
The Assembly Company contracted by the Exhibitor will be responsible for grounding the booth, by making use
of the existing wire at the power input point. They will also assume the responsibility to ground booths constructed in
metal structure (iron or aluminum), connected to the ground wire next to the power input, in order to avoid electric
shocks.
After the installation is ready, one must request the company contracted by Provisuale to authorize the
connection to the main systems of the pavilion.
Exhibitors must be attentive to the fact that all booths and exhibition units must be in accordance with the
official electric norms which are established by the ABNT (Brazilian Association for Technical Norms) – NBR 5410 and
NR-10 (Work and Employment Ministry). The non-compliance with these norms may result in the refusal of the whole
installation.
Upon request of the Exhibitor one or more electric power points can be installed in the booth for lighting and
operating the equipments. For techno-operational reasons, the Assembly Company is responsible for power supply and
connection from the distribution frames.
Each Exhibitor or Assembly Company will complete the electric installation and distribution in the booth,
providing power input with a general switch and protection compatible with the electric power request. The general
switch and the other devices for the electric circuit protection must be installed in metal frames with door.
We recommend
That your electric power request be estimated by a technician in order to avoid some calculation mistake;
To use tension stabilizers for equipments which need stabilized power and no-break;
Prices for non-programmed installations will include a fee for connections to the main circuits and the consumed
current. It is essential that complete information on the electric installation in the booth is made available to the Event
Organization on the indicated date, so that the necessary main feeding is requested in time to be installed at TEC,
before the general assembly services start.

Verify with your Assembler if it will supply your booth, if so, you need to pay only for the Water and Drain fee.
Otherwise, both fees must be paid.
Booths which do not need sink and Water and Drain, the fee payment is not necessary.
5.3
Fees and licenses charged by the City Hall of Sao Paulo
The City Hall of Sao Paulo requires that each Exhibitors of a specific event owns a license for location, installation
and operation.
IMPORTANT: At a sole booth having two or more partners using the same area as Exhibitors, each one of them must
pay the total amount of fees to the City Hall of Sao Paulo.
EXAMPLE: 1 booth x 2 company = 2 payments of fees to the City Hall.
UBRAFE –União Brasileira dos Promotores de Exposições / Brazilian Union for Trade Show Organizers - a national
entity that gathers trade show organizers, has negotiated a change in the way of charging fees (Dams) with the City Hall
of Sao Paulo. The corresponding law was published in the Official Journal of the City of Sao Paulo and consists in
charging fixed fees to each Exhibitor:


Amounting to R$ 318,42 per Exhibitor.
The fees charged to the Exhibitors must be collected in only one payment form and paid directly by the Event
Organization to the City Hall of Sao Paulo, also attaching to it the list of Exhibitors and making the visit of supervisors to
the booths unnecessary.
5.4
Internet and phone lines
The Exhibitor who wishes to rent telephony and internet services, must fill out the Electronic Form – Request of

Telephony and Internet Points– Dead line: September 21 2015 – and forward it directly to the Transamerica Expo
Center to the attention of the Operations Department – Phone: +55 11 5643-3007 / 5643-3013, under NEC’s
responsibility, or by e-mail: [email protected] / [email protected]
The total amount for calls will be charged to the Exhibitor directly by the Transamerica Expo Center. Removal and
return of phones to NEC, located in the back of Halls C, must occur immediately after the event has finished, when the
phone call control will be delivered and calls will be charged through a bank bill. Only NEC qualified team is authorized
to provide any kind of installation or maintenance services for the equipment.
6. ACCREDITATION AND BADGES
6.1
Badges for service personnel
The Service Provider must be accredited by the Exhibitor through the electronic form attached to the Manual, in
order to request the badges. The Service Provider will receive the log-in and password for accrediting his badges, then.
The form can only be completed via electronic manual.
Each badge will cost R$ 160.00. (Except be the service provider for event official)
The badges will be supplied at CAEX upon presentation of a document with photo.
To obtain all the credentials by a third party other than the Provider, shall submit a letterhead with the Provider
permission.

The badges can be collected from October 21th 2015.
If the hired company make the registration directly at CAEX, they should present a letterhead in which the
exhibitor qualifies them to provide the services.
The issue of a second or apprehended credentials will have a cost of R$50,00.
6.2
Badges for assemblers
The Assembly Company will receive 02 (two) free badges for every 5sqm, being cumulative in case it assembles
more than one booth for other Exhibitors.
If a greater number of assemblers are necessary, besides the free quantity allowed, each badge will cost R$
40.00. This fee also applies to contracted companies who assist with the assembly, such as those of cleaning services,
decoration, paintings, visual communication, etc the badges of which will be assembly badges and will have the same
validity, without being considered in the quantity of free badges.
The issue of a second or apprehended credentials will have a cost of R$50,00.
6.3
Maintenance name tags
During the Event the Assembly Company will be entitled to 2(two) badges per assembled booth, which must

be collected at CAEX from October 21 2015.
During the maintenance services for the event period, the two selected assemblers must wear shoes and a social
uniform.
6.4
Badges for security guards
Each security shall bear individual and specific badge event, which may be obtained in electronic manual, on
payment of fee of R$ 290.00 (Except be the service provider for event official), badge and documentation supporting
the profession. See also item 2.8 "Security for Booth.
7. NORMS AND REGULATIONS
7.1
Product Sales Prohibition
Product sales are forbidden, as well as the product display with prices and sales for prompt delivery to the
final consumer.
Important: It is completely forbidden any kind of sales within the Business Trade Show.
7.2
Health and security
All areas must be kept free of any material that has been put away and may cause accidents. Packing material
may not block aisles, accesses and fire exits. These must be removed from the Transamerica Expo Center (TEC) as soon
as possible.
Someone from the staff must be selected at each booth to care for medical emergencies and security questions.
The emergency exits as indicated in the pavilion maps, as well as the hydrants, fire extinguishers, emergency
equipments and accesses must be kept free of people and any objects on all event days, according to the CONTRU and
Fire Brigade Norms.
Barefoot and semi-naked workers will not be allowed inside the pavilion. We suggest the assembly companies
and service providers to have their workers wear T-shirts or short coats showing the company logo for better
identification.
The Exhibitor is responsible for checking if the whole equipment is in accordance with the local regulations
before its installation.
It is not allowed to pull extensions or electrical cables close to the emergency exits and aisles.

7.3
Maintenance of the Transamerica Expo Center
The floor, walls and structure of the Transamerica Expo Center may not be drilled or painted. The use of
petroleum products or chemical derivatives, which may cause damage to the building, is forbidden.













7.4
Requirements
To fill out the appraisal and Certificate for Structural Stability issued by the Civil Engineer/Architect who has
been contracted by the Exhibitor/Organizer;
To fill out the ART with the following statement in Portuguese: “Design, erection and dismantling of metallic
structures ______ kg, to stand _____ and FUTURECOM event 2015, corresponds to the period from ____ to
___ October (Project, assembly and disassembly of metallic structures weighing…. Kg, for the ……. Booth at the
Futurecom 2015 event, corresponding to the period from….. to ……);
To pay for the ART;
The personnel who climbs the TEC structure must wear security helm and belt and be submitted to local
medical examination;
In case the personnel uses steel cable, this must be coated;
The steel cable lace must consist of 3 clips, 10 cm far from each other, remaining 30 cm of cable;
Steel cable dimensioning (gage) is the responsibility of the installer and assembler;
The cables must be fastened only to the knots or points of the TEC ceiling. It is forbidden do fasten cables or
belts on the air conditioning ducts, electro-ducts, shaped steel bars, electro-channels, hydraulic network, fire
network and sprinkler network. Each knot/point will hang just one steel cable/belt;
Spatial and aerial supporting structures must be grounded;
The material to be employed will be subject to weight supervision (Kg), by TEC;
The Assembler must fill out the Term of Responsibility regarding the aerial supporting structures;
The Transamerica Expo Center will charge R$ 200,00 per point or knot to be employed;
The structure installation is the responsibility of the Assembler.
Installation of air-conditioning
The installation of air-conditioning inside the booths is not allowed. The pavilions dispose of powerful airconditioning which is controlled by the Operational Unit of the Transamerica Expo Center.
7.5
Use of common areas and streets inside the Expo Center
The use of common areas or neighboring booths as tool warehouse, benches or temporary warehouse for the
material employed in the booth assembly will not be allowed.
The obstruction of the streets inside the Expo Center, hindering the circulation of trolleys or people performing
activities for other exhibitors will be forbidden as well. The Assembly Companies must avoid the placement of furniture
items and equipments inside the Transamerica Expo Center before the booths are completely built.
7.6
Damages
The Exhibitor and the Assembly Company will be responsible for eventual damages caused to the building of the
Transamerica Expo Center. Included are the damages caused by themselves, their agents, contracted workers or any
employee representing their agents or contracted workers.
The costs for repairing eventual damages, even those accidental, will be evaluated by the Event Organization and
charged to the Exhibitor and the Assembly Company.
The Event Organization will inspect the place before assembly and after disassembly of the Business Trade Show.
According to the terms of the Sponsorship Contract which has been celebrated between the Event Organization
and the Exhibitor, as well as the contents of the Commitment Term included in the accreditation forms of the Assembly
Company and Service Provider:
 In breach of the norms in this Manual, the Assembly Company or the Service Provider and/or the Exhibitor
will be punished with a contractual fine to be evaluated, applied, demanded and judicially charged (if
necessary) by the Event Organization to the transgressing Assembly Company, Service Provider or Exhibitor.

Still in breach of the norms in this Manual, the determination under “A”, as mentioned above, does not
exclude the right to recovery of any other Exhibitor who has been harmed by the transgressing party
(Assembly Company, Service Provider or the Exhibitor himself).
The PROMOTER and the OPERATIONS MANAGEMENT will not take the responsibility for any damages caused to
the pavilion or third-parties during the Event, including theft, sabotage, civil convulsion, deficiency and interruptions of
electric power or other public services and claims of any kind.
7.7
Minors’ Work
In case the Exhibitor needs to employ minors under age 16 on the Event days, he must arrange an
authorization letter from his/her parents, signed by both mother and father and notarized, a photocopy of their ID and
Federal Tax Register, Birth Certificate, besides the contract signed between the Exhibitor and the Minor.

7.8
Contracting personnel for the booth
Every work the Exhibitor contracts must be in accordance with the current legislation. In case he contracts
freelances, these must be registered within the City Hall and the National Institute of Social Security, and provide a
Service Invoice.
When contracting companies, besides the normal Service Provision Contract, the Exhibitor must require a
statement that the personnel made available is duly registered at the company. The lack of these proceedings will
result in a fine applied by DTR (Regional Work Delegacy) to the Exhibitor.
7.9
Supervision of the work ministry and the Federal Police
Due to the usual actions of the Work Ministry at exhibitions the purpose of these guidelines is to clear up some
doubts and help Exhibitors so there is no kind of trouble regarding the documents of professionals who are providing
services at the booths.
The Work Ministry, willing to normalize differences in contracting workforce, has sent teams of supervisors to
the Expo Centers for guiding and supervising participants.
It is important to note that the Contracting Party may be considered co-responsible for the work obligations and
so, it must ask the Service Providers for the statements on regularity in order to prevent eventual demands.
Hiring hostesses, waiters, cleaning professionals, booth assemblers and service providers must comply with the
legislation in force.
Following documents must be at disposal of the Supervisors from the Work Ministry at the booth:
Employees of the Exhibiting Company:
 Copy of the Employee Register;
 Time card;
 Employees of Service Providers (third-parties);
 Service Provision Contract;
 Copy of the Employee Register or Identification Badge, containing full name, job title, date of admission and
PIS/PASEP (Social Integration Program) numbers.
Temporary Workers
 Contract celebrated between the temporary service provider and its register at the Work Ministry.
Freelances
 Copy of the Freelance registration at the City Hall and the National Social Security.

8. SHIPMENT OF GOODS TO THE EVENT
Only the Exhibitor is responsible for complying with all legal demands concerning the proceedings for the
shipment of goods, equipments, products, utensils, etc. Goods must be identified with the fantasy name of the
Exhibiting Company, contact person, booth number and delivery place (which pavilion).
8.1
Invoice issuing
The Exhibitor must issue an Invoice for simple shipment in the name of the Exhibitor himself (sender):
The invoice heading must include all data (Company name, address) of the Exhibitor himself (sender). Same
proceedings for shipments made through the company branches.
The shipment of goods, products, etc., even from third parties, must be covered by an Invoice of the attending
company (Exhibitor). All goods, products, equipments, etc. must be listed in the invoice, mentioning their real value and
including following text in Portuguese:

8.2
Return of goods
For returning the goods the Exhibitor must issue an Invoice for entrance, in his own name, mentioning the
number and date of the Invoice which covered the shipment with following text In Portuguese:

IPI tax, according to Article 40 – subsection II of RIPI/98).
8.3
Delivery charges
The Event Organization will not assume the responsibility for the payment of obligations resulting from the
shipment of goods to the event, including those generated by the import of goods and services, such as taxes, fiscal and
administrative fees, contributions, freights of any kind, fines or any other obligations due to the Public Power,
companies or any other private entity, being these expenses the total responsibility of the Exhibitor.
8.4
Acceptance and storage of goods
The Event Organization will not assume the responsibility either for receiving and supervising the integrity of
goods shipped to the Transamerica Expo Center, or for its delivery or distribution.
The Transamerica Expo Center does not dispose of an adequate place to serve as warehouse for any material
which will not be displayed, boxes, etc. In this case, each Exhibitor must remove this material from the pavilion. In case
the Exhibitor wishes, he may contract the storage services from the official Customs Broker as under Item 4.6.
8.5
Official Freight Forwarder
The Official Freight Forwarder will see to the legal proceedings within the official authorities for the necessary
Customs clearance of equipments and products meant to the exhibition, will collect them at their place of origin and
deliver them at the Exhibitor’s booth. He will also remove and return the equipments and products after the event. This
company also offers Exhibitors paid services for the storage of goods, on request.

9. THE EXHIBITOR ASSISTANCE CENTER - CAEX
9.1
Available services
CAEX will provide services such as:

Access Authorization for the Assembly Company;

Acceptance of additional requests on Infrastructure (rough cleaning, water and drainage, electric power)

Payment of fees of the City Hall of Sao Paulo will not be accepted at CAEX

Accreditation (badges) for the assembly and service personnel
